Activities & Notes

Every interaction with a customer matters. Heffl automatically tracks changes across your CRM and lets you manually log notes, comments, and activities on any record.

Activity timeline

Each CRM record (contact, company, deal, lead) has an activity timeline that shows:
  • Record changes - When fields were updated, by whom, and what changed
  • Notes - Manual notes added by team members
  • Comments - Discussion threads between team members
  • Emails - Emails sent through connected integrations
  • Calls and meetings - Logged via tasks

Notes

Add freeform notes to any CRM record. Notes are useful for capturing conversation summaries, important details, or follow-up reminders.

Adding a note

  1. Open any CRM record (contact, deal, lead)
  2. Go to the Notes section
  3. Click Add Note
  4. Type your note and save

Pinning notes

Pin important notes so they always appear at the top of the notes list. Click the pin icon on any note to toggle pinning.

Where notes can be added

Notes can be attached to:
  • Contacts and companies
  • Deals
  • Leads
  • Quotations

Comments

Comments work like discussion threads. Team members can add comments to collaborate on records.

Adding a comment

  1. Open a deal or lead
  2. Go to the Comments section
  3. Type your comment and submit
Comments support file attachments for sharing documents, screenshots, or other files.

Deal activity summary

Deals include an Activity Summary that aggregates all interactions:

Audit trail

Heffl automatically records every change made to CRM records:
  • Who made the change
  • When it was made
  • What fields were modified
  • The old and new values
This audit trail is visible in the activity timeline and cannot be edited or deleted.

FAQ

Yes. The activity timeline shows all changes with the user who made them and the timestamp.
Notes are visible to all team members who have access to the record. Internal notes on contacts are also visible to your team but not through the client portal.
Activity history is available through the API. You can query activities for any entity using the public API.
