Managing Projects

Projects bring together tasks, team members, files, and billing into one workspace. Use projects to plan work, track progress, and deliver on time.

Creating a project

  1. Go to Projects
  2. Click Add Project
  3. Fill in the project details:

Project types

Retainer projects can have a frequency rule for generating recurring tasks and billing periods.

Project sections

Organize tasks within a project using sections. Sections act like columns in a kanban board.
  1. Open a project
  2. Click Add Section
  3. Name the section (e.g., “To Do”, “In Progress”, “Done”)
  4. Drag tasks between sections

Project team

Assign team members to a project:
  1. Open the project
  2. Go to Team settings
  3. Add members as leads or assignees
Project leads have oversight responsibility, while assignees are responsible for task execution.

Project files

Attach documents and files to a project:
  1. Open the project
  2. Go to the Files tab
  3. Upload files or link existing documents

Project billing

Link invoices and quotations to projects to track billing:
  • Create invoices from the project’s billing tab
  • Link existing quotations to the project
  • Track revenue per project

Project profiles (templates)

Save project configurations as profiles for reuse:
  1. Go to Projects > Profiles
  2. Create a profile with default tasks, sections, and settings
  3. When creating a new project, select a profile to pre-populate
Profiles are especially useful for recurring project types where the structure stays the same.

Recurring project creation

Set up profiles to automatically create projects on a schedule:
  1. Edit a project profile
  2. Enable Recurring
  3. Set the start date, end date, and frequency
  4. Heffl automatically creates new projects based on the schedule

Archiving projects

When a project is complete:
  1. Open the project
  2. Change the status to Archived
  3. The project is hidden from the active list but remains accessible

Yes. Use project profiles to create templates, or duplicate an existing project from the project actions menu.
Retainer projects support recurring billing periods and ongoing task creation. Fixed projects have a defined scope and end date.
